How Travel Advisors Guide Clients to Smarter Travel Insurance Decisions

Canceled flights. Medical emergencies. Unexpected disruptions. Countless issues can complicate a trip. Yet travel insurance — a product that provides financial protection against a variety of mishaps — is often misunderstood by travelers, according to multiple travel advisors.

That lack of understanding places advisors squarely at the forefront of educating clients about the concept of travel insurance.

The education process often starts with the basics, according to Katie Lynn Reynolds, a travel advisor at Travelmation. “One of the biggest misconceptions I hear is that people simply think they don’t need travel insurance,” she said. “They assume everything will go smoothly, or that nothing major could possibly happen to them. But in our industry, we see the unexpected happen all the time. Travel insurance isn’t just for worst-case scenarios. It’s for all the little curveballs that can easily derail plans and cost a lot of money.”

Angela Grigar, senior travel specialist at Northcutt Travel Agency, notes that some travelers aren’t aware of the range of coverage that insurance can provide. “One of the biggest misconceptions I hear is when clients say they are not planning to cancel their trip, so they assume they do not need insurance,” she said. “Cancellation is only a small portion of what a policy protects. The truth is that unexpected events can happen long before the plane takes off, and situations outside a traveler’s control can force a major change in plans.”

Which Trips are Worth Insuring?

Even travelers who understand the value of insurance may think it’s only worthwhile for major trips, according to Redonna Bilbo, senior travel advisor at Be Our Guest Travel Company, a NEST affiliate. “While I absolutely agree that insurance is especially important for longer or more complex trips, I always explain that the times I’ve personally needed it were on shorter vacations,” she said. “Travel insurance gives me and my clients tremendous peace of mind.”

Reynolds, meanwhile, notes that some clients may be resistant to buying travel insurance simply because of the cost. “I completely understand that insurance can feel expensive,” she said. “But I always remind clients that unexpected problems can be more expensive. I’ve had so many clients tell me later that their policy basically paid for itself through the claims they were able to file.”

The importance of travel insurance is especially clear when considering the potential cost of medical attention, according to Grigar. “Travelers often do not realize how expensive emergencies can be until they see the real numbers,” she said. “I also highlight why I use WorldTrips for most of my clients. Their policies provide primary medical coverage, which means clients do not have to deal with their personal insurance first or wait for reimbursement.”

Comparing Differences in Coverage

Not all travel insurance policies are equal, of course. But not all travelers are aware of that, Grigar notes. “I explain that policies may look similar on the surface until you compare the details,” she said. “I walk clients through medical limits, evacuation options, pre-existing condition rules, baggage protection and cancellation benefits. The differences become clear quickly.”

Reynolds recommends contacting insurance companies directly to get a better understanding of coverage options. “A quick, 15-minute call with the insurance company can answer questions directly and clearly,” she said. “I frame my role as helping them understand the options, then pointing them toward the experts who can confirm the details.”

The Realities of Credit Card Offerings

Many travelers today carry credit cards that offer some kind of travel insurance — but they often don’t realize its limitations, according to Reynolds. “I’m very upfront that credit-card insurance can be helpful, but it also comes with a lot of gray areas,” she said. “Their terms and conditions are full of exclusions, limitations and requirements that most travelers don’t realize until they try to file a claim. A full travel-insurance policy is far more straightforward, more comprehensive and designed to support you throughout the entire trip, not just certain pieces of it.”

Grigar also encourages clients to be wary of credit-card travel insurance. “Credit card protections sound appealing at first glance, but they come with low limits, narrow coverage and many restrictions,” she said. “Medical coverage is often minimal or nonexistent. Evacuation benefits rarely match what a traveler would truly need in a serious emergency. Comprehensive travel insurance is built for real-world situations with higher limits, broader protection and far fewer surprises when a claim is filed.”

Understanding Exclusions

Deciphering the fine print of travel insurance also requires understanding what’s not covered. “I always begin with pre-existing condition rules, because most travelers do not realize how early they need to purchase a policy to qualify for that coverage,” Grigar said. “I also explain that general fear of travel is not covered unless the traveler chooses a cancel-for-any-reason upgrade. Evacuation limitations are another major point. Some policies only transport travelers to the nearest acceptable medical facility, which is why I recommend the WorldTrips evacuation upgrade. It allows travelers to be transported to the hospital of their choice, which can be critical in a serious emergency.”

Bilbo notes that timing can be especially important during the trip planning stage. “Purchasing insurance within the correct timeframe is essential, especially if pre-existing conditions need to be covered,” she said. “It’s all about peace of mind and ensuring that once the vacation begins, the focus stays on enjoying the journey.”
